Application and grant procedure
At least one month before the mobility, the staff must prepare and send (scanned copies are accepted) to the Erasmus Office the following:
When the participant arrives at the University of Thessaly he/she has to send/bring to the Erasmus Office the original documents of the Grant Agreement (two copies with original signatures on all pages are required).
At the end of the mobility period, it is necessary to send us the original Confirmation of Attendance, Boarding passes and Hotel Receipt. Also, the staff will be required to submit a final Report. He/She will receive the survey by email and must submit it online. The submission of the report is necessary for the payment of the final grant to the staff.
FINANCIAL SUPPORT
Staff coming from Partner Countries may get a daily contribution to their expenses of 160 EUR (KA171/22 & KA171/2023) / 170EUR (KA171/2024). Each selected individual staff will get a travel contribution based on the distance from the sending to the receiving institution.
Important Note: The grant amount is transferred from the Alpha Bank account (UTH cooperating bank) directly to your bank account. Please be aware that any costs associated with the transaction—such as transfer fees, currency conversion charges, remittance costs, or processing fees—will be borne by the recipient. Alpha Bank charges 29EUR per installment but we kindly ask you to be informed about your bank's transaction fees and let us know if you are interested to get the whole grant after your mobility.

Nomination & Application Procedure from the Home University
Home University has to nominate the selected students - under an active Inter - Institutional Agreement with the University of Thessaly, in the specific subject area - to the Erasmus Office sending the selection procedure and

Grant procedure

CHANGES IN LEARNING AGREEMENT
Students should also take into consideration that changes concerning courses may occur. The University reserves the right to cancel or modify any courses due to unforeseen circumstances.
Erasmus Students can change their Learning Agreement, if necessary, with the approval of both Universities. You can use the During the Mobility Part of the L.A. and you have to give a copy of your new L.A. to the Secretariat of your Department as well.
At the end of the period abroad
- The Learning Agreement - Transcript of records (3rd part- after the mobility) document must be completed by the Departmental Secretary, signed and sent to the Erasmus Offices of both Institutions.
- A Confirmation of Attendance document that states the exact days that the student attended, will be given to the student.
- Boarding passes
- The student will be required to submit a final report. He/She will receive the report by email at the end of the mobility period. It is mandatory that mobility periods are recognized by both higher education institutions as stipulated in the Inter-institutional Agreement and in the Learning Agreement. The sending Institution must fully recognize the activities successfully completed by the student during the mobility, and register them in the student's Transcript of Records. The submission of the report will trigger the payment of the final grant instalment to the student.

Long - term mobility: Students from Partner Countries may receive a monthly contribution to their expenses abroad of EUR 850. Each selected individual participant will get a travel contribution based on the distance from the sending to the receiving institution.

This action supports physical and blended mobility of higher education students and staff from/to third countries not associated to Erasmus+. Students in all study fields and cycles can take part in a study period or traineeship abroad.
Higher education teaching and administrative staff can take part in professional development activities abroad, as well as staff from the field of work in order to teach and train students or staff at higher education institutions.
Credit mobility can be defined as a limited period of study (in the framework of on-going studies at a home institution) with full recognition in Home University, aiming at the:
Students are able to study abroad or realize a mobility for traineeship for a period of 2 months up to a maximum of 12 months in each study cycle and can benefit from an Erasmus+ grant. They can also realize a mobility for traineeship for a period of 2 to 12 months.
Staff can spend a teaching and/or training period abroad from five days (excluding travel) to a maximum of two months and can also benefit from a grant. The grant for staff may provide funding for two additional days of travel (one before and one after the mobility).
Each Erasmus+ National Agency established in a Programme Country has a budget to fund a number of mobility projects between HEIs in that Programme Country and those in Partner Countries. Institutions from Programme Countries can apply to their National Agency to organize projects with HEIs in one or more Partner Countries and the National Agency will award the successful HEIs a grant to cover the mobility of a number of students and staff.
In order for the mobilities to take place, a HEI in a Programme Country must sign an Inter-institutional Agreement with a HEI in a Partner Country. Under this Agreement, it can host students, doctoral candidates or staff from the Partner Country HEI, and can also send students, doctoral candidates or staff to the Partner-Country HEI. In the Agreement, the sending and receiving Institutions agree on the range of courses open to visiting students and on the options for staff mobility. These Agreements make sure that the sending Institution will recognize the credits gained by its students for successfully completed activities abroad, which will contribute to the student's degree once they return. Programme Country HEIs require an Erasmus Charter for Higher Education to apply and take part; by signing the Inter-institutional Agreement, Partner Country HEIs agree to adhere to these principles.
The sending institution is responsible for selecting participants and providing them with all necessary support including pre-departure preparation, monitoring during mobility, and formally recognizing the mobility period. The receiving institution offers participants a study programme, or a programme of staff training or teaching activities at their institution. The Inter-institutional Agreement details the obligations of each institution.
The selection criteria for participants are defined by their sending higher education institution, in agreement with the receiving institution. The first criterion should be academic merit, but with equivalent academic level, preference should be assigned to students from less advantaged socio-economic backgrounds.
Information on the mobility opportunities available and the selection procedure should be made public. The selection of participants, as well as the procedure for awarding them a grant, must be fair, transparent and documented and should be made available to all parties involved in the selection process.
