STEP 1 - Selection Procedure from the Home University

Home University has to nominate the selected students - under an active  Inter - Institutional Agreement with the University of Thessaly, in the specific subject area - to the Erasmus Office sending the selection procedure and citing:

• Student Application Form - for long or short-term mobility (Studies or traineeship) OR
• Student Application form - ONLY for participation in a BIP(Blended Intensive Program)
• English Language Requirement
• Passport copy

Students can apply to the University of Thessaly (G VOLOS01) for a 2-12 month period of studies or traineeship, either for the Winter Semester (WS) or/and for the Spring Semester (SS).

Nomination Deadlines for long-term mobility (Studies)

• 30th of June for students who will attend the Winter Semester
• 30th of November for students who will attend the Spring Semester.

After the nomination, we will send an invitation letter and an e-mail with further instructions on how to proceed.

STEP 2 - Application and grant procedure 

At least one month before the mobility starts, the student must prepare and send to the UTH Erasmus Office the following, in order to get the 1st part of his grant (80%):

Learning Agreement  for studies ( Guidelines for the Learning Agreement for studies) OR  Learning Agreement for Traineeship  ( Guidelines for the Learning Agreement for traineeship                                                                                      

(1 ^st part-before the mobility part), signed by the student and the coordinators of both Institutions. It sets out the study programme/training program to be followed by the student, defines the target learning outcomes and specifies the formal recognition provisions. Please note that short-term mobility must be combined with a virtual component in order to award at least 3 ECTS. The period of virtual mobility must be specified in the learning agreement.

1. The Grant Agreement document, will be signed digitally via the Adobe system by both contracting parties. [Guidelines for filling and signing]
2. Official document of your active bank account stating, account holder, IBAN and bank swift code. The student must be the beneficiary in this account.
3. Photocopy of VISA (if needed), which must cover the whole mobility period. The EU Immigration Portal contains general information on visas and residence permits, for both short and long stays (more than 90 days). 4. Copy of the airplane tickets, receipt and arrival Boarding pass (after your check in). In case you plan to travel by private car please send us: i) your Driving license, ii) the Vehicle Registration Document & iii) the Solemn Declaration filled and signed.
5. Online Linguistic Support (OLS)- only for long-term mobility: [How you will proceed]. In case that English is your mother language, you do not need to fill the OLS Test (It is not required in short -term mobility till 15 days).
   • Copy of the Health insurance contract, which must cover the whole mobility period.
   • Additionally, the students who visit UTH for traineeship have to send us a copy of their insurance for a) Civil Liability and b) Personal Accident, which must cover the whole mobility period.                                                                                         

⚠️ Insurance coverage is mandatory, privately arranged, and represents a financial burden for the interested student.

STEP 3 - During the mobility 

Students should also take into consideration that changes concerning courses may occur. The University reserves the right to cancel or modify any courses due to unforeseen circumstances.

Erasmus Students can change their Learning Agreement, if necessary, with the approval of both Universities. You can use the During the Mobility Part of the L.A. and you have to give a copy of your new L.A. to the Secretariat of your Department as well.

STEP 4 - After the mobility

1. The Transcript of records [3^rd part of the Learning agreement (after the mobility)] must be completed by the Departmental Secretary, signed and sent to the Erasmus Offices of both Institutions.
2. A Confirmation of Attendance document that states the exact days that the student attended, will be given to the student.
3. Departure Boarding pass (by email). In case you travelled by private car, you have to submit us the travel documents (tolls, boarder documents etc) in order to prove the exact dates of your return.
4. The student will be required to submit a final report (EU Survey). He/She will receive the report by email at the end of the mobility period. It is mandatory that mobility periods are recognized by both higher education institutions as stipulated in the Inter-institutional Agreement and in the Learning Agreement. The sending Institution must fully recognize the activities successfully completed by the student during the mobility, and register them in the student's Transcript of Records. The submission of the report will trigger the payment of the final grant instalment to the student.

FINANCIAL SUPPORT

• Long  - term mobility: Students from Partner Countries may receive a monthly contribution to their expenses abroad of EUR 850. Each selected individual participant will get a travel contribution based on the distance from the sending to the receiving institution.
• Participation in Blended Intensive Programs/ Short-term mobility (should be combined with a virtual component in order to award at least 3 ECTS) Τhe daily contribution is 79EUR(5th-14th day) and 56EUR (for 15th -30th day)

Each selected individual participant will get a travel contribution based on the distance from the sending to the receiving institution.

KA171 - Mobility of higher education students and staff supported by external policy funds

This action supports physical and blended mobility of higher education students and staff from/to third countries not associated to Erasmus+. Students in all study fields and cycles can take part in a study period or traineeship abroad.
Higher education teaching and administrative staff can take part in professional development activities abroad, as well as staff from the field of work in order to teach and train students or staff at higher education institutions.

Credit mobility can be defined as a limited period of study (in the framework of on-going studies at a home institution) with full recognition in Home University, aiming at the:

• supporting of students' personal development and employability
• supporting of staff's professional development
• increasing of the capacity of higher education institutions
• enhancing of internationalization
• enhancing of inclusion & diversity

Students are able to study abroad or realize a mobility for traineeship for a period of 2 months up to a maximum of 12 months in each study cycle and can benefit from an Erasmus+ grant. They can also realize a mobility for traineeship for a period of 2 to 12 months.

Staff can spend a teaching and/or training period abroad from five days (excluding travel) to a maximum of two months and can also benefit from a grant. The grant for staff may provide funding for two additional days of travel (one before and one after the mobility).

Each Erasmus+ National Agency established in a Programme Country has a budget to fund a number of mobility projects between HEIs in that Programme Country and those in Partner Countries. Institutions from Programme Countries can apply to their National Agency to organize projects with HEIs in one or more Partner Countries and the National Agency will award the successful HEIs a grant to cover the mobility of a number of students and staff.

In order for the mobilities to take place, a HEI in a Programme Country must sign an Inter-institutional Agreement with a HEI in a Partner Country. Under this Agreement, it can host students, doctoral candidates or staff from the Partner Country HEI, and can also send students, doctoral candidates or staff to the Partner-Country HEI. In the Agreement, the sending and receiving Institutions agree on the range of courses open to visiting students and on the options for staff mobility. These Agreements make sure that the sending Institution will recognize the credits gained by its students for successfully completed activities abroad, which will contribute to the student's degree once they return. Programme Country HEIs require an Erasmus Charter for Higher Education to apply and take part; by signing the Inter-institutional Agreement, Partner Country HEIs agree to adhere to these principles.

The sending institution is responsible for selecting participants and providing them with all necessary support including pre-departure preparation, monitoring during mobility, and formally recognizing the mobility period. The receiving institution offers participants a study programme, or a programme of staff training or teaching activities at their institution. The Inter-institutional Agreement details the obligations of each institution.

The selection criteria for participants are defined by their sending higher education institution, in agreement with the receiving institution. The first criterion should be academic merit, but with equivalent academic level, preference should be assigned to students from less advantaged socio-economic backgrounds.

Information on the mobility opportunities available and the selection procedure should be made public. The selection of participants, as well as the procedure for awarding them a grant, must be fair, transparent and documented and should be made available to all parties involved in the selection process.

The University of Thessaly has activated the first 26 mobilities for the academic period 2016-2018 with 4 Institutions:
